Hay Group serves more than 7,000 clients from their 88 offices in 47 countries, so managing and protecting their data is no small feat. Bob Butler, Director of Information Technology, believes that technology functions that are not revenue generating or client facing should be outsourced to partners with specialty expertise who are motivated through their service level obligations to support his organization. Bob believes in “Applying technology, not just acquiring technology.” He maintains a lean staff of high level engineers who manage the partners and carry out his vision. As a professional services consulting organization with over 2,000 employees worldwide, much of the work product is conducted and transmitted via email. Matters of intellectual capital, human resources and are found in the caches of messages produced by Hay staff every day. Hay IT staff was frequently called upon to locate and produce historical messages whether for internal investigation or legal inquiries. This process often took weeks to achieve and was an added burden on his already fully tasked IT staff.
In 2005, Hay’s IT staff looked for a messaging environment that was optimized for Lotus Notes, addressed their increasingly frequent discovery requests, was seamless for the users and would support their vision to move to Exchange. Once again, Bob turned to IPR International, a partner already providing other data protection services for Hay throughout its enterprise. IPR had already done the R& D to identify the ideal solution for Hay Group and had standardized the CA Message Manager solution for its clients. IPR’s turnkey solution enabled Hay to quickly deploy the email archiving solution with offsite archives. Hay employees now have unlimited mailbox capacity, although after X days, old emails are seamlessly moved out of his production environment and into the archive where they can be retrieved by the end user through their familiar mailbox interface.
